For AI recruitment software in Australia, the best first build is usually narrow: a chatbot that answers candidate questions and asks knock-out questions, or CV triage against criteria your recruiters have written down, with a recruiter still making every decision. As of October 2026, a fixed-fee pilot of one such workflow costs about AUD 7,750–23,250 (USD 5,000–15,000, indicative, at our reference rate) and takes 3–4 weeks; a production system starts at about AUD 31,000.
This guide is for agency owners and in-house talent teams with roughly AUD 10,000–15,000 to spend. It is written by NKKTech Global, an AI engineering company based in Hanoi, Vietnam, so the prices quoted are our own. It covers which workflow to automate first, what each option costs, the privacy guardrails to agree before real candidate data is used, and how to tell after four weeks whether to keep going.
Key takeaways
- The first recruitment workflow worth automating is usually high-volume and rules-based – candidate FAQs and knock-out questions, CV triage, interview scheduling or talent-pool search – while judgement on motivation and fit stays with recruiters.
- As of October 2026, a fixed-fee AI Pilot of one use case costs USD 5,000–15,000, indicatively AUD 7,750–23,250 at a reference rate of AUD = USD × 1.55; full builds start from about AUD 31,000.
- An AUD 10,000–15,000 budget fits one use case for one role family; ATS write-back, several channels and a production rollout usually need a larger scope.
- From 10 December 2026, applicable APP entities must describe in their privacy policy the kinds of personal information used, and the kinds of decisions made, by computer programs that make or substantially assist decisions that could significantly affect individuals (OAIC).
- The published case study for AWING Technologies in Hanoi, Vietnam, reports 80% less response time and 45% higher pre-screening completion from a multi-channel recruitment chatbot.
What to build first with AI recruitment software in Australia
AI is now dependable at a fairly narrow set of recruiting tasks: reading CVs into structured fields (skills, tickets and licences, work rights, availability), first-pass screening against criteria you define, answering candidate questions at any hour, booking interviews, and drafting ads or outreach for a recruiter to edit. It is still weak at judging motivation, reading a non-traditional career path fairly and making the final call. Your first project belongs in the first group.
Most of the options below read from your applicant tracking system (ATS) – the database that holds your jobs, candidates and pipeline stages – and some write back to it.
| Starting point | What it automates | Data you need | Pays off when | Main risk |
|---|---|---|---|---|
| Recruitment chatbot (FAQs + pre-screening) | Answers candidate questions, asks knock-out questions, collects documents | Job descriptions, FAQs, screening questions | You run high-volume roles: warehousing, hospitality, care, contact centres | Wrong answers if the knowledge base goes stale |
| AI candidate screening (CV triage) | Parses CVs, ranks them against explicit criteria, explains each result | Role criteria, a sample of past CVs | Roles attract hundreds of applicants | Bias if criteria act as proxies for age, gender or background |
| Interview scheduling assistant | Offers slots, sends reminders, handles rebookings | Recruiter calendars, ATS stages | Recruiters spend hours chasing first-round calls | Calendar and ATS integration effort |
| Talent pool search for agencies | Finds suitable past candidates already in your database | Your existing candidate records | You have years of candidates you rarely revisit | Old records with outdated or missing consent |
A recruitment chatbot is a sensible first pilot when candidate questions or pre-screening take substantial recruiter time: candidates see it straight away, and response time, screening completion and drop-off can be measured within weeks. For an in-house team filling a few roles with very large applicant numbers, CV triage may be the better start.
Agencies have one extra opportunity: the candidates they have already paid to attract. Searching that database by meaning rather than keywords is a job for retrieval-augmented generation (RAG), where the system first finds the relevant records and a language model then works only from them. We used the same pattern for a Singapore PropTech startup's property search; that published case study reports 65% faster property discovery, 40% higher user engagement and zero hallucinated property details. Listings are not candidates, but the engineering problem – find the right record in a large, untidy database without inventing details – is the same. Our RAG development page explains the approach.
One build detail worth insisting on: keep knock-out rules (work rights, licence, shift availability) as structured rules a recruiter can read and edit, not as instructions buried inside a prompt. The same answer then always produces the same result, and every rule can be audited.

What it costs in AUD, as of October 2026
These are our fixed-scope prices as of October 2026. AUD figures are indicative, at our reference rate (AUD ≈ USD × 1.55); exchange rates move, and quotes depend on scope.
| Option | What you get | USD | AUD (indicative) |
|---|---|---|---|
| AI Pilot | One use case taken to a working pilot on your real data in 3–4 weeks | 5,000–15,000 fixed fee | ≈ 7,750–23,250 |
| Full build | Production system with integrations, monitoring and handover | from 20,000 | from ≈ 31,000 |
| LLM / RAG system | Search or assistant over your own documents and records | from 30,000 | from ≈ 46,500 |
| Dedicated team | Senior engineers working on your roadmap | from 15,000 / month | from ≈ 23,250 / month |
What AUD 10,000–15,000 buys. That budget sits inside the indicative pilot range, so a pilot would normally cover one use case – for example FAQs and pre-screening for one role family, on one channel. ATS integration may need to be scoped and quoted separately. Several channels, several integrations and a full production rollout belong in a full build.
Our AI Pilot for recruitment exists for exactly this test: one recruitment use case on your real data, a fixed fee, a working result in 3–4 weeks and code you keep – and it becomes phase one of a full build only if it earns its place.
What pushes cost up: the number of integrations (ATS, calendars, SMS), the number of channels, how tidy your data is, and logging or audit requirements. Running costs – language-model usage, hosting, SMS fees – scale with conversation volume and should be measured during the pilot. We price by fixed scope rather than hourly billing, and any scope change is quoted and approved before work on it starts. Full details are on our pricing page.
Privacy and fair-hiring guardrails to agree first
Candidate data is personal information, and some of it – health details, criminal record checks, diversity responses – can be sensitive information under the Privacy Act 1988. Agree these points before any real candidate data is used:
- Hosting, overseas access and retention. Agree the hosting region, who can access the data from overseas and how long it is kept. An Australian cloud region such as AWS Sydney (ap-southeast-2) is one option.
- APP 8 for overseas access. If an overseas team can see personal information, that may be a cross-border disclosure under APP 8 – see the OAIC's APP 8 guidelines. Working on anonymised data or through controlled access are options; document the assessment before real data is touched. More in Privacy Act and offshore development.
- A recruiter makes every hiring decision. The system screens and suggests; it does not reject anyone on its own.
- Explicit, auditable criteria. Each result shows which written criteria were met. Avoid proxies such as postcode, graduation year or employment gaps; anti-discrimination law applies to a shortlist whether a person or a tool produced it (see the Australian Human Rights Commission).
- Tell candidates what they are talking to, and check whether your screening must be described under the APP 1 automated-decision rules that start on 10 December 2026. Our checklist for recruiters works through that test step by step.
This is general information, not legal advice.
A four-week pilot, and what the results can look like
A pilot should answer one question: does this save recruiter time or improve the candidate experience on your roles?
- Before week 1 – baseline. Pick the use case and record average response time, screening completion rate and recruiter hours per role.
- Week 1 – data and access. Job descriptions, FAQs, screening rules in plain English and a sample of anonymised past applications, in the hosting region you agreed.
- Week 2 – build. Chatbot on your careers page, knock-out questions, handover to a recruiter, and an export – or ATS write-back if it is in scope.
- Week 3 – try to break it. Recruiters ask off-topic questions, push for promises about pay and give ambiguous answers. Keep a test set of 40–50 real candidate questions and re-run it after every fix, so a repair in one place does not quietly break another.
- Week 4 – live on one or two roles. Measure against the baseline and decide: continue, adjust or stop. You keep the code either way.
For a sense of what those measures can show, our recruitment published case study is not Australian. It is a chatbot for AWING Technologies, a technology company in Hanoi, Vietnam, working across the website, Messenger and Zalo for CV screening, interview scheduling and candidate FAQs. The client reported an 80% reduction in response time, 65% more candidate engagement, 30% less manual HR workload and 45% higher pre-screening completion. An Australian pilot would more likely use website chat, SMS or email and would need its own privacy assessment; the screening, scheduling and FAQ patterns carry over.
On working hours: Vietnam is three hours behind Sydney on AEST and four during daylight saving, so meeting times are agreed in scope. Our Australia page covers the practicalities, and AI chatbot development covers the build side.

Frequently asked questions
Can I build an AI recruitment chatbot for under AUD 15,000? Possibly. As of October 2026, AUD 15,000 sits within the indicative AUD 7,750–23,250 range of a USD 5,000–15,000 fixed-fee AI Pilot, so the final quote depends on scope. FAQs plus pre-screening for one role family is a realistic pilot; ATS integration may need separate scoping, and a multi-channel production system costs more.
Is AI candidate screening legal in Australia? Using AI to assist screening is common, but privacy and anti-discrimination law still apply. Keep a human recruiter as the decision-maker, make criteria explicit and tell candidates when they are dealing with AI. From 10 December 2026, applicable APP entities must also describe qualifying automated decision-making in their privacy policy, so get legal advice for your situation.
Can an offshore team build recruitment software without moving candidate data out of Australia? It can be set up that way. Production data can be hosted in an Australian cloud region while engineers work on anonymised data or through controlled access. Remote access to personal information may still count as a cross-border disclosure, so complete an APP 8 assessment first.
